Job Objective/ Summary: Reports to the Chief Financial Officer and assists with day-to-day financial activities, financial reporting, and streamlining/integrating financial systems with other systems across the organization (Health Services PointClickCare, Payroll/HRIS–Ultimate Software, Dining Services POS, etc).

Qualifications and Job Requirements:

  • Bachelor’s degree in Finance, Accounting or related field. A combination of relevant education, training and experience may be substituted for degree as long as employee can competently perform essential functions of the position.
  • Minimum three to five years of increasingly responsible experience in accounting or related field.
  • Understanding of laws affecting payroll, and experience with payroll processing.

Compensation & Benefits: Starting at $23.15 – $30.49 DOE, fully benefited position, working 32-35 hours per week.

 

Essential Functions:

  • Treats staff equitably, promotes a safe and harmonious workplace, and works to reduce staff injuries.
  • Collaborates with key staff to provide organizational services, including accounting, payroll, billing, administrative, and inventory management.
  • Reconciles general and subsidiary ledger, income, and expense accounts. Assists with month-end and year-end closing of the accounting system, and preparation of monthly and yearly financial statements. Assists auditors with fieldwork.
  • Manages payroll processes and ensures all aspects of payroll are working legally, properly and accurately. Works closely with the HR department to ensure that cross-over information translates into accurate payroll processing.
  • Assists Chief Financial Officer and organizational constituents with establishing, monitoring, and evaluating financial accounting and reporting system to ensure effective integration with other operational systems, and provision of comprehensive, accurate, and timely financial information.
  • Assists the Chief Financial Officer in preparing the financial budget.
  • Prepares the filing of all required federal and state reports including Form 5500-C, 1099s, federal and state payroll reports, and CCRC disclosure statement. Helps with completion of data gathering to assist accounting firm in preparing Form 990 and OR CT12.
  • Develops and prepares periodic accounting/finance reports as required.
  • Assists with processing daily financial transactions, including bank balances and money transfer, expense reimbursement, labor distributions, etc.
  • Ensures maintenance of daily cash balances: reviews and verifies daily deposit transactions, and reconciles bank deposits within QuickBooks.
  • Maintains accurate general and subsidiary ledgers.
  • Calculates and prepares charges to post to residents, using accounting software system.
  • Prepares monthly accounts receivable invoices, attaching appropriate backup.
  • Prepares and verifies monthly fee list and billing summary of charges for journal entry preparation.
  • Ensures daily payments to accounts receivable are verified and posted.
  • Ensures accounts receivable payments are reconciled s to amounts billed and researches payment discrepancies.
  • Provides support and backup for accounting functions as necessary.
  • Adheres to Friendsview’s policies and procedures, including those covering privacy and security in compliance with HIPAA regulations, and codes of conduct. Maintains confidentiality and respects residents privacy at all times in accordance with HIPAA regulations.

  • May assist with developing accounting procedures manual.

  • Must have comprehensive knowledge of and experience using industry specific accounting systems; ability to effectively apply knowledge and skills to accounting and reporting system.
  • Must be able to learn and use sophisticated, cloud-based human capital management/ payroll system (UltiPro)
  • Must have advanced skills using MS Excel, knowledge of and skill using pivot tables, v-lookup, h-lookup and other advanced Excel functions.
  • Must have demonstrated knowledge of other MS Office programs.
  • Must be able to work independently in addition to functioning well in a team setting and multi-culture environment.
  • Must be able to prioritize workload and meet rigid time frames.
  • Must be able to communicate effectively verbally and in written English.
  • Must be able to maintain confidentiality of information at all times.
  • Must be able to work with and communicate effectively with the elderly.

Additional Requirements:

  • Must successfully pass the Department of Human Services (DHS) criminal background check and, if applicable, fingerprinting.
  • Must be able to pass a pre-employment drug screen.
  • Must be able to pass the pre-employment reference checks.
  • Must be able to provide the official grade transcripts of the education level provided on the employment application.
  • Must be able to provide a copy of his/her own social security card for W-4 documentation.
  • Must be able to provide applicable documentation(s) for I-9 in order to establish identity and authorization to work in the US.

Additional Preferences:

  • Advanced skills using PointClickCare accounting software
  • Familiarity with non-profit accounting
  • Familiarity with CCRC or related accounting
  • Experience with interpretation of accounting standards
